How we work · Why projects succeed

Most software projects fail. Ours don't. Here's the difference.

Industry research has said it for decades: a large share of custom software projects go over budget, miss their deadline or end up unused. After fifteen years of building platforms, and rescuing other people's, we know how it happens, and our process is built to stop it.

Book a Discovery call See the failure modes
  • Discovery firstThe problem is understood and written down before anyone builds.
  • Fixed estimatesScope, price and timeline agreed per phase. No open-ended time and materials.
  • Prototype before codeEvery screen clicked through and signed off before production development.
  • Clients for a decadeTerm Deposit Shop since 2014, Arrow Logistics since 2016. That's the measure we care about.
Failure modes

Projects don't fail in the code. They fail in the decisions around it.

Six failure modes cover almost every dead project we've been asked to rescue. Each one has a specific part of our process that stops it.

Failure mode 01

Building before understanding

The team starts coding against assumptions. Months later the software is finished and wrong, because nobody checked the real problem with the people who do the work.

Our counter

Discovery is a standalone, fixed-price phase. We map the workflows and agree on the problem before any code is written, and we'll tell you if software isn't the answer.

Failure mode 02

Scope that never stops moving

Open-ended time and materials with no agreed definition of done. Every stakeholder adds a request, the budget doubles and the launch date keeps slipping.

Our counter

A fixed estimate from Discovery and a signed-off prototype before the build. Changes are welcome, but each one is priced and agreed before it goes in.

Failure mode 03

Nobody owns adoption

The system goes live, the vendor leaves, and the field team goes back to the spreadsheet. Software nobody uses returns nothing, however well it was built.

Our counter

We design with the people who will use it, test the prototype on their real work before the build, and stay on after launch to fix whatever gets in their way.

Failure mode 04

Technical debt from day one

Shortcuts taken to hit a demo become the foundation. Two years in, every change takes weeks and the platform that was meant to help the business grow is holding it back.

Our counter

Fifteen years of code libraries we maintain, ISO 9001 certified engineering standards, automated testing and deployment pipelines. JACK runs in three countries from one codebase because it was built properly the first time.

Failure mode 05

The vendor disappears at launch

The software is treated as a one-off purchase. The business changes, the market changes, and a platform nobody is improving turns into the next legacy system.

Our counter

Launch is the midpoint, not the end. Support agreements, managed hosting and a standing list of improvements keep the platform moving with the business, which is why clients stay with us for years.

Failure mode 06

Everything lives in one person's head

One developer, contractor or employee holds the architecture, the passwords and the history. When they leave, nobody dares touch the system.

Our counter

Several of our engineers know every codebase, the documentation is handed over with the software, and you own the code. We set it up the same way on your side.

Experience

What fifteen years of building software gives you

Experience isn't a number on an About page. It's a set of things we already have that make each project faster, safer and cheaper.

We've solved this before

Logins, permissions, workflows, integrations, reporting. The hard parts of every platform are already built in our libraries and kept up to date across every project, so yours doesn't start from scratch.

ISO 9001 certified process

Our quality and security procedures are audited by an outside body. Estimation, testing, deployment and handover follow the same written process whether the client is a sole trader or a government department.

We know the traps in your industry

We've seen the compliance rules in health, the pricing complexity in retail and the audit requirements in government. Knowing them in advance means fewer surprises halfway through a build.

A stable, local, senior team

The strategists and engineers who scope your project are the ones who build it. Everyone is in Adelaide and most have been here for years.

AI where it earns its place

We build AI into software where it clearly helps, such as reading documents, automating routine steps and answering questions on your data. We don't add it where your team couldn't explain, check or trust the result.

We teach as we go

We explain the technology as we build, so your leadership team can read a proposal critically, weigh building against buying, and make decisions with us as advisers rather than gatekeepers.

After go-live

Where the real value is

Getting software live is the first step. The bigger gains come later, as the platform takes on more of the operation, opens up new markets and, for some clients, becomes the business itself.

Stage 1

Validate

Discovery confirms the problem, the workflow and the business case before serious money is spent.

Value

You don't build the wrong thing.

Stage 2

Launch

A focused first release replaces the most painful workflow. People use it because it was designed with them.

Value

A return within months, not years.

Stage 3

Operate and grow

The platform takes on the workflows around it, such as invoicing, reporting and integrations, and becomes the system the business runs on. Decisions start being made on its data.

Value

Efficiency and better information, year on year.

Stage 4

Scale

New markets, new products, sometimes a product that can be sold in its own right. JACK went from one builder's business to Australia, the United States and Canada.

Value

This is where the software pays for itself many times over.

Key-person risk

Your system should never be hostage to one person

The most common rescue call we get: the one developer who understood the system has left, and nobody dares touch it. We set up every project so that can't happen, on our side or yours. When the process lives in the software rather than in people's heads, a staff change stops being an emergency.

  • Team delivery, never solo. Several engineers know every codebase and every change is reviewed.
  • Documentation comes with the software. Architecture, decisions and how to run it are written down to ISO 9001 standard and handed over.
  • You own the asset. Code, documentation and infrastructure are yours, and you can take them to another supplier at any time.
  • Your business is protected too. Workflows, approvals and knowledge captured in the system mean a new starter is productive in days and a departure takes nothing with them.

M&A

Buying or selling a business?

In most sales the software is the biggest unknown. We check the code, architecture, security, IP and key-person risk before you sign.

Technology due diligence

Start with the problem, not the code.

Discovery tells you the real problem, the scope and the cost before you commit to anything.

Book a Discovery call See the results

Not sure where to start? Discovery is a standalone, fixed-price phase: two to four weeks working through your workflows and settling the scope, timeline and cost. You keep everything we produce and there's no obligation to build with us. If off-the-shelf software is the better answer, we'll say so.
